2. KU Loket

2.1 Registering for a study programme

If you are registered for a course at LUCA, you will receive an r-number (login) and activation code. You need this information to use your LUCA e-mail account and to gain access to TOLEDO, LUCA's electronic learning platform. In any case, make sure that you have activated your login before the start of the academic year, this way you can request all the information you need to start the academic year via TOLEDO.

You will be notified by email when you can pick up your student card at the reception on campus. Make sure you always have it with you (for printing, borrowing books,…).

2.2 Individual Study Program (ISP)

Each academic year you must also register via KU Loket (www.luca-arts.be  – KU Loket) for the course units you want to take that year and for which ones you will take an exam. Information about all individual course units can be found in the program guide: Education - LUCA (luca-arts.be)

If you have any questions or problems completing your ISP, you can contact your learning path counsellor.

2.3 Study progress file

You can always consult your study progress file via KU Loket. In this file you will find all the courses you take and the results you have obtained for them. You can also see the status of your learning account and whether you have already used tolerances or can still use them. Via KU Loket you must also register (if necessary) for the third examination period.

3. TOLEDO

3.1 TOLEDO: electronic learning platform

Many teachers use TOLEDO to support their lessons and make courses, presentations, assignments, etc. available for students. As a student you have access to all courses for which you are registered. Below you will find step-by-step how to access TOLEDO.

The first time

All students registred at LUCA School of Arts automatically receive a user number (r-number) and an activation code, which can be used to create a password via the website https://activation.kuleuven.be/

From Monday 7 August 2023 you can log in on TOLEDO, two days after your official registration.

My courses

On the home screen, on the right under 'My Courses', you will find an overview of the courses for which you are registered. Only the courses of teachers who use TOLEDO to support their lessons can be found here. The course unit must also be included in your ISP before you have access to the digital information.

 When you click on a course, you will initially see the 'announcements' that a teacher may have posted. If you click on 'course documents' in the left navigation bar, you will see the digital course material.

3.2 TOLEDO: intranet for students

Within the TOLEDO environment, overarching communities have been created for the students of campus C-mine and per specialization. In this way, information is disseminated regarding the organization of the courses (class schedules, exam schedules, education and exam regulations, information about services, urgent messages about moving classes or absence of teachers, etc.). Below you will find step-by-step instructions on how to access the student intranet.

Step 2: log in with your r-number and password

Step 3: on the home screen you will find the community that applies to you under 'My communities' on the right. Click on the link.

Step 4: on the homepage of the intranet you will find the navigation bar on the left with all information grouped by section.

4. Study guide and academic calendar

On the LUCA website you will find a link to the study guide with the ECTS sheets for each program (http://onderwijsaanbod.luca-arts.be/opleidingen/n/). For each course unit there is an ECTS sheet with information about the sequence, objectives, content, expected attendance, evaluation method and examination opportunities.

The general academic calendar of LUCA can also be found on the website.

The academic calendar tailored to campus C-mine can be found on TOLEDO.

5. In absence

If the teacher requires attendance, you must notify the education administration of any absence and upload the sick note via https://proform.luca-arts.be/student/sickness  notification. In the event of longer absences, you must in any case notify the education administration and also the lecturers.

Specific procedures apply during the examination periods. These will then be announced via TOLEDO.

Absence of teachers is reported via TOLEDO. If you have any questions about the presence of teachers, you can also contact the reception.

8. On-campus support services

8.1 Education Administration

Your student file is managed by the education administration. Changes in study program or administration most be reported to the education administration via educationadmin.genk@luca-arts.be.

The reception and education administration staff are available every working day from 8:30 am to 12:30 pm and from 1:00 pm to 4:30 pm.

8.2 Learning path counselling

The learning path counselor can help you to map out your study path. He/she is the perfect person to help you put together a balanced and feasible tailor-made lesson package, spread over one or more study phases.

If you have any questions about the composition of your study curriculum, the school and examination regulations, learning account, reorientation or individual pathways, please contact the learning path counselor of your study program for the necessary information and advice.

For follow-up during the academic year and useful support with difficult decisions, the learning track counselor can help you optimize your chances.

The learning path counselor of the program can analyze your results together with you and determine the best path to take to the next phase of the programme.

8.3 Waivers

If you have completed or not completed higher education studies or if you can look back on a number of years of professional experience, you may be exempted from certain course units.

If you have any questions about this, you can contact your learning path counsellor.

8.4. Internationalization

You can obtain information about studying or doing an internship at the Internationalization    Service Abroad.

8.5. Care coach

The care coach supports all students with a disability: dyslexia, hearing impairment, autism spectrum disorder, visual impairment, ...

If you have a certificate from a specialized institution or doctor, you can rely on adapted facilities and a specific framework.

You can also contact the care coach for the status of student – informal carer, student – entrepreneur, top athlete, high-level artist or due to special circumstances (for example, death of a close family member, etc.).

The care coach also provides general study guidance in the form of workshops. The following themes can be discussed: study techniques, study planning, ...

8.6. Education and exam ombudsman

If you believe that your rights as a student are being violated during the course of your studies, you can submit your complaint to the education and examination ombudsman. The ombudsman handles complaints related to the student-teacher relationship, the way education is offered, the application of the education and examination regulations, etc.

The ombudsman will handle your complaint with complete discretion and will look for a solution in consultation with the student and the lecturer. The ombudsman primarily has a role as a mediator between the student, the lecturer and possibly also the head of the programme, the coordinators or the examination board.

8.7. Student facilities (STUVO)

Student life has its ups and downs. Study stress, fear of failure, difficulty dealing with feedback, ... it can undermine your motivation and confidence. Stress in your personal situation can also play tricks on you. Do you notice that you no longer have fun, worry a lot or postpone work? STUVO helps you in coaching conversations from a solution-oriented approach. STUVO also organizes information sessions and group training sessions on study stress, procrastination or self-assured presentation.

9. Lending Service

At the lending service you can borrow audiovisual equipment (cameras, beamers, video,...) and other small equipment (micro, tripod, lamp,...). The stock is not unlimited, so make sure you reserve in time via the platform LUS (https://lus.luca-arts.be/)

10. Libraries

You can find all information on the website (www.luca-libraries.be).

The various LUCA libraries make an essential contribution to education and research within LUCA School of Arts and the Faculty of Architecture (KU Leuven).

The collections of the LUCA libraries pay particular attention to twentieth-century and current developments in art and architecture. They make the physical and digital collection efficiently available to students, lecturers and researchers.

The LUCA libraries are located on different campuses in Genk, Ghent, Brussels and Leuven:

11. Classrooms

11.1. Reservation classrooms

If you want to reserve a classroom or meeting room for a specific event (presentation, jury,…) you can contact the planning department (planning.genk@luca-arts.be).

You can reserve studios or editing cells via the LUS platform (https://lus.luca-arts.be).

If you have used a room, you must ensure that the room is left in its original condition. Please note: not all rooms can be used for any type of activity and some rooms are not accessible at all.

11.2. Technical services and ICT

Technical problems related to buildings, rooms,… can be reported to the facility manager Bart Theunissen (bart.theunissen@luca-arts.be).

11.3. Access to buildings and opening hours

During school weeks, the building is open from Monday to Friday between 8:00 AM and 6:00 PM. From 6 pm you can only enter the school with your student card. On Mondays, Wednesdays and Fridays, the school closes permanently at 7 pm. On Tuesdays and Thursdays at 10 pm. From that hour on, access is no longer possible.

The school is not accessible in weekends.

During the lesson-free weeks and exam periods, the school is accessible between 8:00 AM and 6:00 PM.

The building is closed during the collective leave of campus C-Mine (from 10 to 30 July and on the collective days of leave stated on the academic calendar).

ATTENTION: these are the normal opening hours. If there are any changes due to COVID 19 or for other reasons, they will be communicated via TOLEDO.

11.4. Theft prevention

The campus is freely accessible, even for people who do not necessarily have good intentions. So make sure you don't leave any equipment unattended (not even for a short while!) in unlocked rooms. If you still want to leave material behind, use the lockers or ask a fellow student to keep an eye on things.

12. Insurance and First Aid

Information about the school insurance can be found at http://admin.kuleuven.be/sab/vz/. If you have any questions about school insurance, you can also contact the campus manager Lut Beerten (lut.beerten@luca-arts.be).

There are staff on campus who are trained to provide assistance in the event of an accident. These members of staff can be called up via the reception.

13. Copy

If you want to use the copier on campus, you can load the Papercut print balance on your student card online via https://print.luca-arts.be, after which you can print with your student card.

14. Cafeteria

There is a student cafeteria in the open landscape, where you can get soup, cold and hot sandwiches.

15. Student Participation

As a student you can help shape LUCA and the study program you follow. LUCA does everything it can to offer you a nice and interesting study time. In order to do that, it is important that students also make their voices heard. You can do this by submitting your candidacy for the participation committee on campus. From this committee you can participate in consultations about the curriculum, the organization of the campus, the services, ...
